Comprehensive data conversion from EXact

We have comprehensive data conversion tooling for all major Practice Management Systems (PMS) including EXact. We are always improving our processs to ensure you get a rich data conversion with minimal practice disruption. In fact, many practices are impressed with just how fast we can move them onto a new dental software whilst retaining the data from their legacy system.

Practice Information

We convert the following:

  • Location Hours

  • Location Name

  • Location Post Code

  • Location Phone Number

  • Location Address

  • Location Email

  • Location Website

  • Surgeries

Note on Referral Source Types: We used to convert these, however there was often too much bad data to be useful (e.g. 100’s of ways to spell Google, g00gle, etc). We recommend configuring some meaningful referral sources manually for your Dentrix Ascend go-live.

User Accounts

We do convert the following:

  • First & Last Name

  • Username

  • Email

  • Phone

  • Provider #

  • ABN

  • Contact Address

  • Associated Patients

  • Associated Fees

  • Working Hours

Patient Information

We do convert the following:

  • First & Last Name, Middle Initial

  • Title

  • Gender

  • Birthdate

  • Status

  • First Visit Date

  • Last Visit Date

  • Primary Provider

  • Address

  • Work Adress (carried over as a patient note)

  • Primary Phone Number

  • Related Patients

  • Email

  • Health Fund & Line # (carried over as a patient note)

  • Treatment Reminders (carried over as a patient note)

  • GP (carried over as a patient note)

  • Financial Warnings (carried over as a patient note)

  • Financial Opening Balances

  • Financial Transaction History (carried over as a patient note)

  • Medical Alerts

  • Planned Procedures

  • Appointments (including reason, date, time, length, provider)

    • All appointments with ‘coordinated duties’ have been converted and combined into 1 appointment with total time

  • Recall types (all recalls are converted and defaulted to type ‘EXAM’)

  • Historical treatment

  • Clinical notes

  • Planned treatment

  • Graphical charting

    • Ascend will display graphical charting if the ADA service code, tooth number, and surface is present.

    • If you have any custom procedure codes, they can be mapped to ADA codes during conversion, or else configured by us pre-conversion

    • Only missing teeth are converted from Base Chart; otherwise we convert data only the latest Chart

  • Perio Charting

  • X-rays

    • Done post go-live -> can take up to 1 week depending on total size and number of images

  • Documents

    • Done post go-live -> can take up to 1 week depending on total size and number of images

  • Medical History with Clinipad

    • Done post go-live -> can take up to 1 week depending on total size

We do not convert the following at this time:

  • Alternate Patient Phone Numbers

  • Surgery/room on patient appointment

  • ‘Visits’ in the Ascend TX Case are not converted using appointments with planned treatments from EXact

    • As these appointments are approaching, staff can create visits in the Tx Case

  • Recare type comes through as text under appointment reason; isn’t recognised by Patient’s recare schedule.

    • As these appointments are approaching, Reception should set appropriate recare on patient record manually

  • Patient Photo / Selfie

  • Emergency Contact

  • Basic Perio Exam / CPITN
